About EPI Promotions

EPI Promotions is a nationwide experiential marketing and event staffing agency specializing in the alcohol beverage industry. We partner with leading spirits, beer, wine, and ready-to-drink brands to execute product samplings, brand activations, special events, and promotional programs across the country.

Our team coordinates thousands of activations each year in bars, restaurants, liquor stores, grocery stores, retail locations, festivals, and other on- and off-premise accounts.

We are looking for an organized, proactive, and detail-oriented West Coast Staffing Coordinator who understands the fast-paced nature of the beverage and hospitality industries and can help manage staffing operations across our West Coast markets.

Position Summary

The West Coast Staffing Coordinator is responsible for helping ensure our beverage activations are properly staffed and successfully executed. This position coordinates Brand Ambassadors, communicates with clients and field staff, manages event details, and troubleshoots the real-world issues that arise when executing live events.

While this is a fully remote position, we strongly prefer candidates who are based on the West Coast, particularly in Arizona or surrounding Western states. This role primarily supports our West Coast markets, and being located within the region provides greater familiarity with the markets, time zones, and day-to-day needs of the team.

Previous experience in the alcohol beverage, restaurant, bar, hospitality, event, or experiential marketing industry is strongly preferred. We are especially interested in candidates who understand the terminology, expectations, and pace of alcohol beverage events and can comfortably communicate with Brand Ambassadors, clients, account contacts, and internal management.

This is an administrative and operations-focused position, but industry knowledge is extremely valuable. Someone who has worked as a bartender, server, beverage Brand Ambassador, promotional model, field manager, event coordinator, distributor representative, or in a similar hospitality or beverage role may be an excellent fit.

Key Responsibilities

Coordinate staffing for alcohol beverage samplings, promotions, and special events across assigned West Coast markets.
Recruit, schedule, confirm, and communicate with Brand Ambassadors for upcoming activations.
Enter, update, and manage event shifts within the company's staffing and scheduling platform.
Communicate professionally with clients regarding staffing confirmations, event details, changes, and field updates.
Serve as a primary point of contact for Brand Ambassadors before, during, and after scheduled events.
Monitor live event execution and troubleshoot staffing issues, call-outs, account questions, and last-minute changes.
Ensure Brand Ambassadors understand event expectations, brand requirements, dress code, sampling procedures, and required documentation.
Track event recaps, photos, receipts, sales information, and other required post-event documentation.
Follow up on incomplete or inaccurate event reporting.
Assist with payroll information, reimbursements, and administrative reporting.
Maintain accurate staffing records and internal documentation.
Develop strong working relationships with Brand Ambassadors, clients, and internal team members.
Collaborate with company leadership on staffing needs, operational initiatives, and special projects.
Perform additional administrative and operational duties as assigned.

Qualifications

Previous experience in the alcohol beverage, restaurant, bar, hospitality, experiential marketing, or event industry strongly preferred.
Experience with spirits, beer, wine, beverage sampling, bartending, serving, or promotional events is highly desirable.
Familiarity with on-premise and off-premise environments is a plus.
Experience as a Brand Ambassador, bartender, server, field manager, event coordinator, staffing coordinator, or beverage industry professional is a plus.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to manage multiple events, markets, and priorities simultaneously.
Comfortable handling last-minute changes and solving problems quickly.
Strong customer service skills and professional communication.
Ability to work independently and make sound decisions in a remote environment.
Strong attention to detail and follow-through.
Proficiency with Google Workspace and Microsoft Office.
Experience with staffing, scheduling, CRM, or event-management software is a plus.

What We're Looking For

Schedule

This is a full-time remote position. Because EPI Promotions supports live events, flexibility is required. The West Coast Staffing Coordinator will need to respond to staffing or event-related matters during evenings, weekends, and holidays.
