About the Role
As an Operations Coordinator, you're the person who turns a partner's goal into a room full of the most important people in AI. You'll be the glue executing an idea from first-call to a premier experience talked about long after it happens. This role is intended for full time applicants.
What you'll do
- Own the run-of-show for events end to end: the timelines, operations, staffing, AV, and the thousand details nobody sees but everybody feels.
- Turn complex logistics into a system, building the checklists, trackers, and playbooks that make each event faster and sharper to execute.
- Source, negotiate, book, and manage vendor and venue relationships globally.
- Coordinate partners, speakers, judges, and VIPs, from confirmation to the moment they walk into the venue.
- Work with the partners to execute their vision: they have a request, you'll act on it.
- Manage logistics across a packed calendar, often planning multiple events in many cities at once.
- Debrief every event and continuously improve each time. You'll never make the same mistake twice.
Non-negotiables you need to have
- Absurd attention to detail. You catch the thing everyone else misses, consistently.
- Crystal clear, fast, and effective communication. There's no room for ambiguity with our vendors, our partners, and our team.
- Calm under pressure. When AV dies 10 minutes before doors, you're already on the fix.
- Excited to travel. You're willing to work occasional nights and weekends when an event demands it.
- High agency. You figure out how to figure it out.

- A host's instinct. You care how a room feels and behaves, not just whether it ran on time and our metrics were hit.

Bonus points, but not requirements
- Comfortable on-site, running point on the ground during events. First in, last out, and present to ensure as smooth an experience as possible.
- A demonstrated track record proving you can run down events, operations, or other logistics (previous events / ops roles, high-bar student clubs, hackathon organization, community and ecosystem development, etc).
- Experience in customer service, being able to field any request and leave every guest with a smile.
- A deep understanding of the tech industry, including relevant companies, news, model launches, and the history of the last ~3 years in AI.
- You're competitive about any hobby, sport, craft, or area of expertise.
- You've studied, dabbled in, or learned software engineering or any complementary technical skills.
- An inclination towards learning new things, adopting new tools, and experimenting with your own processes to get shit done efficiently.
- An eye for design in PowerPoint, Figma, Canva, or other tools for ad-hoc requests.
