Intake specialist- booking experience (Remote, Part-Time)
IIntake Specialist — Patient Consultation & Booking Experience
Part-Time | Remote | Greenwich Psychology Group
About Greenwich Psychology Group
Greenwich Psychology Group is a premier private-pay mental health practice serving high-functioning adults, executives, couples, families, adolescents, and children across Connecticut and New York, with virtual care available where appropriate.
Our team of more than 30 therapists provides treatment for anxiety, OCD, panic attacks, ADHD, depression, bipolar disorder, trauma, eating disorders, couples and relationship concerns, family dynamics, career and life transitions, and psychological and neuropsychological assessment.
We are seeking an experienced Intake Specialist — Patient Consultation & Booking Experience to serve as the first point of contact for prospective patients.
This Is a Clinical Consultation Role, Not a Scheduling Position
Greenwich Psychology Group does not use a straight-booking model. Every prospective patient receives an approximately 15-minute personalized consultation before being matched with a therapist.
This position requires someone who can think clinically while connecting personally. Our prospective patients include professionals, executives, college students, parents, couples, adolescents, children, and individuals navigating divorce, career changes, retirement, relocation, family conflict, relationship difficulties, anxiety, mood concerns, and major life transitions.
The Intake Specialist must be able to establish rapport quickly and professionally, listen carefully and ask thoughtful questions, understand a prospective patient’s primary concerns and treatment needs, identify an appropriate clinical and interpersonal therapist match, understand how the recommended clinician approaches treatment, and communicate the recommendation confidently and in clear, natural language.
This is a consultation, not a therapy session or diagnostic assessment.
Explaining the Therapist Recommendation
A central responsibility of this role is helping prospective patients understand why a particular Greenwich Psychology Group clinician may be an appropriate fit. The Intake Specialist must be able to communicate a thoughtful recommendation clearly, naturally, and confidently based on the information gathered during the consultation.
Communication Style
Prospective patients are often anxious or uncertain when they first call. Communication must be warm, calm, soft, measured, confident, and clinically perceptive. The consultation should feel natural and personal rather than rushed, mechanical, scripted, or checklist-driven.
Clinical Knowledge Required
Candidates must arrive with a strong baseline understanding of psychology and outpatient mental health care. We do not teach the fundamentals of psychology or how to conduct consultations.
Working knowledge is required of anxiety disorders, OCD, panic attacks and panic disorder, ADHD, depression and its varied presentations, bipolar disorder, eating disorders, trauma, couples and relationship concerns, family and parent-child dynamics, divorce and separation, career and workplace concerns, college and young-adult concerns, and major life transitions and adjustment concerns.
Candidates must also understand the basic principles and applications of CBT, DBT, psychodynamic psychotherapy, EMDR, couples therapy, family therapy, play therapy, art therapy, psychological assessment, and neuropsychological testing.
This knowledge is necessary to understand prospective patients, exercise appropriate clinical judgment, and make thoughtful therapist recommendations. The Intake Specialist does not diagnose or provide treatment.
Know Our Clinicians
The Intake Specialist must maintain detailed, current knowledge of every Greenwich Psychology Group clinician accepting new patients, including their degree, credentials and clinical background, specialties and populations served, treatment approaches and areas of expertise, Connecticut or New York location, in-person, hybrid and virtual availability, and current caseload capacity.
Candidates must know the Greenwich Psychology Group website and clinician profiles thoroughly and be able to speak confidently and naturally about our clinicians.
Qualifications
- Bachelor’s, Master’s, or Doctoral degree in Psychology or a closely related mental-health discipline, including Psychology, Social Work, Professional Counseling, Mental Health Counseling, Marriage and Family Therapy, or Art Therapy. Licensure is not required.
- 3–5 years of experience conducting consultations with prospective or current mental-health patients or clients, preferably in a sophisticated outpatient or private-practice setting.
- Strong clinical judgment and the ability to synthesize relevant information into a thoughtful recommendation.
- Calm, soft, measured, polished, and highly confident communication style.
- Strong organization and attention to detail.
- Ability to receive direct feedback and implement it quickly.
Traditional scheduling, general intake, or hospital admissions experience alone is not sufficient for this role.
Schedule & Compensation
- Approximately 25 hours per week
- Tuesday–Friday, 3:00 p.m.–6:00 p.m. ET
- Availability one weekend morning, Saturday or Sunday, is a plus
- Remote
- $30–$60/hour, based on skill and experience
- Must remain live on Zoom with the clinical, administrative, and booking teams throughout scheduled shifts
- Potential for full-time employment based on performance and business needs
Training
Candidates are expected to arrive with the clinical foundation and consultation experience required for the position. Candidates must be receptive to feedback and able to incorporate it quickly and consistently.
Required Audio Assessment
All applicants must submit a 5–10 minute audio recording of a simulated prospective-patient consultation along with their CV. Applications without the audio assessment will not be considered.
Before recording, review the Greenwich Psychology Group website and clinician profiles so that you are familiar with our clinicians, specialties, backgrounds, and treatment approaches.
Play both roles: the Intake Specialist and the prospective patient. Create a realistic prospective patient seeking therapy for more than one concern. Conduct the consultation as you would with an actual prospective patient, using your own clinical knowledge and judgment to determine what questions are important to ask and what information you need in order to understand the patient and make an appropriate therapist recommendation.
At the conclusion of the consultation, identify the specific Greenwich Psychology Group clinician you would recommend and explain, in clear and natural language, why you believe that clinician is an appropriate fit and how their background and approach may be helpful to the prospective patient.
We are interested in hearing how you think clinically, what you choose to ask, how you listen and follow up, how you formulate a recommendation, and how effectively you communicate with a prospective patient.
The recording should be natural and unscripted. AI-generated or AI-scripted assessments will not be considered.
To Apply
Email your CV and required 5–10 minute audio assessment to iris@greenwichpsychology.com.
Both are required. Incomplete applications will not be considered.
